Pricing an extra bed from your real costs

Families, friends travelling together and wedding guests often ask for an extra bed. Many hotels pick a round number years ago and never revisit it. A better starting point is your actual cost per extra bed night, plus a markup that reflects the value of an extra person in the room.

Extra bed cost (EP) = Bed cost ÷ Uses + Linen and laundry + Housekeeping + Amenities
CP = EP + Breakfast  |  MAP = CP + One main meal  |  Charge = Cost × (1 + Markup)

What to include

  • The bed itself: a rollaway or folding bed with a good mattress wears out. Divide its price by the number of nights you expect to use it.
  • Linen and laundry: sheets, blanket or duvet cover, pillow cover and towels for one more person.
  • Housekeeping: the time to carry, set up and remove the bed.
  • Amenities: extra toiletries, water bottles and tea or coffee.
  • Meals: food cost of breakfast and, for MAP, lunch or dinner. Use the food cost and menu price calculator if you do not know your plate cost.

Choosing the markup

Cost is only the floor. An extra adult also uses electricity, water, common areas and staff attention. Many hotels sanity-check the result against a share of the room tariff; the tool lets you set that percentage and compare. On peak dates you can charge more, and for long-staying families you may choose to charge less to win the booking.

GST on extra bed charges

An extra bed is part of the accommodation supply, so it is usually added to the room's value per night when deciding the GST slab. Up to ₹7,500 the rate is 5% without input tax credit; above ₹7,500 it is 18% with ITC. A room just under the limit can cross it once an extra bed is added, so check the slab with your CA. The hotel GST calculator shows the tax for any tariff.

Put it in writing

Publish the charge on your website, OTA listings and rate cards, state the age from which it applies, and mention whether breakfast is included. Clear rules prevent arguments at check-in.

Frequently asked questions

How much should a hotel charge for an extra bed in India?

Start from your real cost of bed, linen, housekeeping, amenities and meals, then add a markup. Compare the result with a share of your room tariff and with nearby hotels before fixing the rate.

Is GST charged on extra bed charges?

Yes. The extra bed is part of the accommodation supply, so GST applies. It is usually added to the room value per night for deciding the 5% or 18% slab. Confirm with your CA.

Should the extra bed charge include breakfast?

Offer both: a room-only extra bed charge and one with breakfast. State clearly which is included on your rate card, website and OTA listings.
