Why consistent rate codes matter
Every rate a hotel sells is a rate plan: a room type, a meal plan, a market segment and a cancellation rule. When codes are created ad hoc, the PMS fills up with plans like “DLX1”, “DLX NEW” and “CORP-2” that nobody can read. Reports by segment become unreliable, channel mapping errors creep in, and new staff pick the wrong plan at the front desk. A systematic code tells anyone what the rate is at a glance.
Example: DLX-CP-COR-FLX = Deluxe, breakfast, corporate, flexible
The building blocks
- Room: a 3-letter code such as DLX (Deluxe), SDX (Super Deluxe), STE (Suite). Unknown names get an automatic 3-letter code, made unique if two clash.
- Meal plan: the Indian standard terms EP (room only), CP (with breakfast), MAP (breakfast plus lunch or dinner) and AP (all meals).
- Segment: BAR, COR (corporate), OTA, PKG (package) and MEM (member), so revenue can be reported by market segment.
- Cancellation: FLX for flexible and NRF for non-refundable.
The generator also writes a readable rate plan name and a description you can paste into your booking engine, plus a CSV you can open in a spreadsheet to prepare a PMS or channel manager import.
Good practice
- Create only the combinations you actually sell. Three rooms with two meal plans, three segments and two cancellation types already make 36 plans.
- Keep codes identical across the PMS, channel manager and booking engine so mapping is straightforward.
- Price linked plans as a fixed difference from BAR. Use the meal plan rate calculator for EP, CP, MAP and AP differences and the corporate rate calculator for negotiated rates.
- Retire old codes instead of reusing them, so historical reports stay correct.

Frequently asked questions
What is a rate code in a hotel?
A rate code is a short identifier for a rate plan in the PMS and channel manager. It usually combines the room type, meal plan, market segment and cancellation policy, for example DLX-CP-BAR-FLX.
What do EP, CP, MAP and AP mean?
EP is room only, CP includes breakfast, MAP includes breakfast and one main meal (lunch or dinner), and AP includes all three meals. These are the standard meal plan terms used by Indian hotels.
How many rate plans should a hotel have?
As few as you need to sell well. Load only the combinations you actually offer on each channel, because every extra plan adds rates to update and more room for mapping mistakes.
