A simple, honest forecast

Big hotel chains use forecasting software, but most independent hotels and homestays in India can get a useful forecast from three numbers: what is already booked, how fast new bookings usually arrive, and how many bookings usually cancel. This calculator combines them so you can see, two or three weeks ahead, whether a set of dates is heading for a full house or a quiet spell.

Forecast room nights = (On the books + Pickup per day × Days left) × (1 − Cancellation %)

Where to get each number

  • On the books: confirmed room nights for the period from your PMS or channel manager, today.
  • Pickup per day: look at similar dates last year or last month. If 84 room nights were booked in the final 21 days before those dates, pickup is 4 a day. Use separate figures for weekends, festivals and weekdays.
  • Cancellations: the share of bookings that cancel or do not show. Your cancellation loss calculator results are a good guide.

Worked example

A 30-room hotel looks at a 7-night period starting in 21 days. Capacity is 210 room nights and 120 are booked (57%). Pickup is 4 a day, so 84 more are expected. With 8% cancellations: (120 + 84) × 0.92 = 188 room nights, or about 89.4% occupancy, leaving 22 room nights to sell.

Turning the forecast into action

  • Above 85%: raise rates in steps, close the cheapest rate plans and consider a minimum stay on the busiest night. If cancellations are high, the overbooking calculator shows a safe number of extra rooms to sell.
  • 60–85%: keep rates steady and watch pickup every few days.
  • Below 60%: act early with offers, corporate and travel agent outreach and better OTA visibility — not a last-minute price crash.

Re-run the forecast weekly. As the dates get closer, fewer days remain for pickup, so the forecast becomes more reliable. Track the actual result with the occupancy rate calculator and adjust your pickup figure if you were consistently too high or too low.

Frequently asked questions

What is pickup in hotel forecasting?

Pickup is the number of new room nights booked for a future date or period over a given time, for example per day. Historic pickup tells you how many more bookings to expect before arrival.

How accurate is a pickup-based occupancy forecast?

It is a reasonable estimate when your pickup and cancellation figures come from similar dates. It is less reliable for one-off events, new hotels or periods with sudden changes in demand.

Should I include cancellations in the forecast?

Yes. Some of today's bookings and some future bookings will cancel or not show, so reducing the forecast by your usual cancellation rate gives a more realistic number.
