In-house or outsourced laundry?

Every room night sends sheets, pillow covers and towels to the laundry. For a small homestay, a local vendor charging per piece is usually simplest. As a hotel grows, the monthly laundry bill becomes large enough that running your own machines can be cheaper. This calculator compares both options using your room nights, linen per room and real costs, and shows the volume at which in-house laundry starts to pay.

Pieces per month = Rooms sold × Pieces per room night  |  Saving = Outsourced cost − In-house cost

Working out your in-house cost per kg

  • Water: from your water bill or tanker cost, divided by kilograms washed.
  • Detergent and chemicals: detergent, softener, bleach and stain removers.
  • Power and fuel: washer, dryer, ironer or flatwork press, and boiler or LPG if used. Drying and ironing usually use more energy than washing.
  • Labour: laundry staff salary divided by kilograms handled in a month.
  • Fixed costs: EMI or depreciation on machines plus maintenance. These are paid whether you wash a lot or a little.

A typical room-night set of two sheets, two pillow covers, a bath towel and a hand towel weighs around 2.5 to 3.5 kg, so an average of about 0.5 kg per piece is a reasonable starting point. Weigh a few sets to get your own figure.

Beyond the numbers

Cost is only part of the decision. In-house laundry gives faster turnaround and better control over quality and linen life, but needs space, water, drainage, trained staff and maintenance. Outsourcing frees space and staff but depends on the vendor's reliability, and harsh chemicals can shorten linen life. Many hotels outsource heavy flat linen and keep towels or guest laundry in-house.

Plan your linen stock

Whichever option you choose, you need enough linen to cover rooms, the laundry cycle and stores. Work it out with the linen par calculator, and plan housekeeping staff with the housekeeping staffing calculator.
