Hotel Finance & Investment Calculators
Building, buying, leasing or upgrading a hotel is a big decision. These free calculators help owners and investors test the numbers early: costs, returns, loans, payback and break-even.

Key investment questions
- What will the project cost per room?
- What occupancy and rate are needed to break even?
- How long is the payback period?
- What EMI can the property support?
How to use these calculators
Begin with conservative assumptions for occupancy and ADR, based on similar hotels in your market. Add all operating costs, including staff, utilities, OTA commission, maintenance and taxes. Then test a few scenarios: a slow year, a normal year and a good year.
If the project only works in the best case, it needs a rethink. A sound plan still pays its loan in a slow year.

The numbers every hotel owner should know
Whether you are buying a property, adding rooms or simply checking how the business is doing, a handful of numbers tell you most of the story. The hotel finance and investment calculators on this page work those numbers out for you. Here is what each one means and why it matters.
| Metric | How it is worked out | Why it matters |
|---|---|---|
| Occupancy | Rooms sold ÷ rooms available × 100 | Shows how much of your capacity you actually sell |
| ADR (average daily rate) | Room revenue ÷ rooms sold | Shows the average price guests pay per room night |
| RevPAR | Room revenue ÷ rooms available (or ADR × occupancy) | Combines price and occupancy into one number you can compare month to month |
| GOP (gross operating profit) | Total revenue − operating expenses | Shows whether the hotel makes money before loan payments and owner costs |
| Payback period | Total investment ÷ yearly net cash flow | Shows how many years it takes to get your money back |
| Break-even occupancy | Fixed costs ÷ (ADR − variable cost per room night) ÷ rooms ÷ days | Shows the minimum occupancy you need to cover your costs |
How to check if a hotel project is feasible
- Start with realistic room revenue. Use the ADR and occupancy that similar properties in the same area achieve, not the best month of the best year.
- Add other revenue carefully. Food, events and extra services help, but small properties often overestimate them.
- List every operating cost. Staff, utilities, OTA commissions, maintenance, insurance, marketing and software.
- Include the financing. Loan payments, interest and working capital are what decide whether the owner is comfortable or stretched.
- Test a bad year. Run the numbers again with occupancy 15 to 20 points lower. If the project still survives, it is much safer.
Once the property is open, revenue grows by improving ADR and occupancy together. Our hotel revenue management page explains how we approach this for independent hotels.

What is a good RevPAR for a small hotel?

Are the results financial advice?
No. The calculators are planning tools that give estimates based on what you enter. They are not financial or investment advice.
Do the calculators work for homestays and resorts?
Yes. The formulas are the same for any property that sells rooms by the night.
Are these calculators free?
Yes, all of them are free to use with no sign-up.
