Room Tariff Card Generator
Create a clean, printable room tariff card with EP, CP and MAP rates for up to six room types — plus a WhatsApp version for enquiries.
What a room tariff card should include
A tariff card is the rate sheet you share with walk-in guests, travel agents, corporate clients and WhatsApp enquiries. It should be easy to read in ten seconds. Include:
- Each room type with occupancy and bed type.
- Rates for each meal plan — EP (room only), CP (with breakfast) and MAP (breakfast and dinner). Add AP (all meals) in the Word file if you offer it.
- Extra bed and child policy, check-in and check-out times.
- Whether rates include or exclude GST, and the validity dates.
- Your booking phone, WhatsApp and email.
Showing GST correctly
Guests in India are often surprised by GST at check-out, so say it clearly. Room tariffs up to ₹7,500 per room per night attract 5% GST and tariffs above ₹7,500 attract 18%. If your rates are exclusive of GST, a ₹4,000 room becomes ₹4,200 with GST. If you quote inclusive rates, make sure your invoice shows the GST back-calculated correctly — the hotel GST calculator does this in one step.
How to set the rates on your card
- Start from your costs and target profit — the hotel room rate calculator helps.
- Keep a clear gap between room types so upgrades feel worth it.
- Price meal plans from the real food cost per person, not a round guess.
- Keep separate cards for peak and off-peak seasons rather than one rate all year.
- Make sure the rate you send direct is not higher than your OTA rate — guests compare.
Print card and WhatsApp version
The tool creates a printable card for the front desk and travel agents, and a WhatsApp text version with bold headings that you can paste into enquiries or save as a quick reply in WhatsApp Business.
Frequently asked questions
What do EP, CP, MAP and AP mean on a hotel tariff?
EP is room only, CP includes breakfast, MAP includes breakfast and one major meal (usually dinner), and AP includes all three meals.
Should I show rates with or without GST?
Either is fine as long as it is stated clearly. Many hotels quote rates exclusive of GST to agents and inclusive rates to leisure guests. Always mention which one you use.
How many room types can I add?
Up to six room types, each with EP, CP and MAP rates. Leave a row blank to skip it.
