How to price a banquet plate
Weddings, receptions, corporate dinners and birthday parties are usually sold per plate. A plate price has to cover three things: the food on the menu, the people who serve it and the fixed costs of the event such as decor and the hall, plus your margin. This calculator builds the price from those parts and gives three ready tiers, Silver, Gold and Platinum, that you can put straight into a proposal.
Overheads per pax = (Service staff + Decor + Hall rent) ÷ Guaranteed pax
Plate price = (Food + Overheads) × (1 + Margin %)
Tips for the inputs
- Items by course: count every dish the guest can take, including welcome drinks, salads, breads and desserts. Each one adds cost even if guests eat small portions.
- Food cost per item per pax: the average ingredient cost of one dish for one guest. Non-veg and premium items cost more; take the figure from your recipe cards.
- Service staff: include outsourced waiters and supervisors. A common planning ratio is one server for every 12 to 15 seated guests.
- Guaranteed pax: price on the minimum number the client commits to, not on the hoped-for number, so fixed costs are fully covered.
GST on banquets
GST depends on where and how the event is served. Catering at a hotel where any room has a declared tariff above ₹7,500 is generally taxed at 18% with input tax credit. A package where hall rental is the main supply is also commonly taxed at 18%. Catering alone at other premises is usually 5% without input tax credit. Because this depends on your contract, the rate is editable here; confirm it with your CA before you quote. The hotel GST calculator helps with the room side of a wedding block.
Selling the tiers
- Show all three tiers; most clients choose the middle one.
- List the menu items under each tier so the value is clear.
- If the client also books rooms, quote them together with the group booking quote calculator.

Frequently asked questions
How do I calculate per plate cost for a banquet?
Multiply the number of menu items by the average food cost per item per guest, then add service staff, decor and hall rent divided by the guaranteed number of guests.
What GST applies to banquet packages?
It depends on the venue and contract. Catering at hotels with any room tariff above ₹7,500, or packages where the hall is the main supply, is usually 18%; catering alone elsewhere is usually 5%. Check with your CA.
Should I price on expected or guaranteed guests?
Price on the guaranteed number in the contract. If fewer guests come, the client still pays for the guarantee and your fixed costs stay covered.
