Corporate Rate Agreement Generator
Draft a clear corporate rate contract — room rates, GST, inclusions, blackout dates, billing, cancellation, LRA and signatures — in minutes.
Why hotels sign corporate rate agreements
Corporate travellers bring steady weekday business, repeat stays and less price shopping than leisure guests. A written corporate rate agreement makes the deal clear for both sides: which rooms, at what rate, with what inclusions, for how long, and how the bills are paid. Without it, disputes about rates, credit and cancellations come up at the worst time — at check-out or when an invoice is overdue. This free corporate rate agreement generator creates a structured contract template you can edit and sign.
Key clauses to get right
- Rates and GST — say clearly whether rates are inclusive or exclusive of GST. Room tariffs up to ₹7,500 per room per night attract 5% GST and above ₹7,500 attract 18%.
- Blackout dates — festivals, New Year and big local events where you can sell at higher rates.
- Last room availability (LRA) — with LRA the company gets its rate whenever a room is available. It is valuable to the company, so offer it to high-volume accounts or charge a little more for it.
- Billing and credit — direct billing with a credit period, or guest pays. Fix the credit days and what happens when payments are late.
- Cancellation and no-show — a cut-off in hours and the charge after that.
- Confidentiality — corporate rates should not appear on OTAs or with agents.
How to price a corporate rate
Start from your average rate on weekdays, not your rack rate. A corporate discount of 10 to 20% off the best available rate is common, but the right number depends on the volume the company actually delivers. Check what each account is worth with the hotel revenue calculator and compare against what the same room earns through OTAs after commission using the OTA commission calculator.
Review every account each year
- Track room nights produced by each company against the volume promised.
- Collect payments on time and stop credit for accounts that delay.
- Renew strong accounts early with a small rate increase; renegotiate weak ones.

Frequently asked questions
What is last room availability in a corporate agreement?
It means the hotel will honour the corporate rate as long as any room of the contracted type is available for sale, even on busy dates. Without it, the rate is subject to availability.
Should corporate rates include GST?
Either works if the agreement says so clearly. Many hotels quote corporate rates exclusive of GST so that a change in GST does not change the contracted rate.
Is this corporate rate agreement legally valid?
It is a template to help you draft the agreement. Review the clauses with a legal advisor and adapt them to your hotel before signing.
