Overtime in hotels

Hotels run 24 hours a day, so a busy wedding weekend, a sudden absence or a late banquet can easily push staff beyond their normal shift. Overtime is legal when it is recorded and paid correctly, but it becomes expensive and risky when it turns into a habit. This calculator turns a monthly wage into an hourly rate and shows what each extra hour really costs.

Ordinary hourly rate = Monthly wage ÷ (Working days × Normal hours per day)
Overtime pay = Hourly rate × Multiplier × Overtime hours

Example: a steward earns ₹18,000 for 26 days of 8 hours. The hourly rate is ₹18,000 ÷ 208 = ₹86.54. At twice the rate, 20 hours of overtime cost ₹173.08 × 20 = ₹3,462.

What the law usually says

  • Rate: most state Shops & Establishments Acts, and the Factories Act, set overtime at twice the ordinary rate of wages.
  • Wage base: some laws use basic + DA, others the full wage. Use the figure your state rules and your appointment letter specify.
  • Limits: states cap daily working hours (including overtime) and total overtime hours per quarter. Women working at night may need extra safety arrangements and permissions in some states.
  • Records: keep an overtime register with dates, hours and the approving manager's signature.

Every state writes its own rules and the labour codes are changing them, so the multiplier is editable. Rules change — verify with your CA/HR advisor.

Keep overtime under control

  • Plan shifts against forecast occupancy and events with the staff duty roster generator.
  • Check whether a department is short of people; the housekeeping staffing calculator shows how many attendants your room count needs.
  • Approve overtime in advance, not after the shift.
  • Cross-train staff so a front office associate can help in the restaurant at breakfast.
  • Track overtime as a percentage of payroll every month.

Results are estimates, not legal advice.

Frequently asked questions

How is overtime calculated for hotel employees?

Divide the monthly wage by working days times normal hours per day to get the hourly rate, then multiply by the overtime multiplier, usually 2, and by the overtime hours worked.

Is overtime always paid at double rate in India?

Most state Shops and Establishments Acts and the Factories Act set twice the ordinary rate, but the wage base and hour limits vary by state. Check your state rules with your HR advisor.

Can I give time off instead of overtime pay?

Some states allow compensatory off in certain cases, but many require payment. Follow your state law and appointment terms, and record the arrangement in writing.
