What a relieving letter does
A relieving letter is the formal proof that an employee resigned, served their notice, handed over their work and was released by the employer. The next employer usually asks for it before or soon after joining, and many background checks treat it as essential. For hotels, issuing it promptly also closes the loop on uniforms, ID cards, locker keys and cash floats.
What to include
- Employee name, ID, designation and department.
- Date of the resignation letter and the last working day.
- The period of service with your hotel.
- A handover statement, listing any items still to be returned.
- The status of the full and final settlement: paid, or the date it will be paid.
- A short reminder about guest and business confidentiality.
- Signature and designation of an authorised person.
Relieving checklist for hotels
- Accept the resignation in writing and agree the last working day.
- Plan cover for the shifts using the staff duty roster generator.
- Collect uniform, name badge, ID card, master keys, locker key and any advance or float.
- Revoke access to the PMS, POS, email and staff WhatsApp groups on the last day.
- Calculate the full and final settlement: salary to the last day, leave encashment, gratuity if eligible, less any recoveries allowed by law.
- Issue the relieving letter and, if requested, an experience letter.
Common mistakes
- Holding back the relieving letter to force someone to stay longer than the notice period in their contract.
- Delaying the final settlement. Under the Code on Wages, wages due on separation are to be paid within two working days.
- Making deductions that are not allowed by law or agreed in writing.
- Mixing an unproven allegation into the relieving letter. Handle disputes separately.

Frequently asked questions
What is the difference between a relieving letter and an experience letter?
A relieving letter confirms the resignation was accepted and the employee was released after handover. An experience letter describes the period of service and work done. Many employers ask for both.
When should a relieving letter be issued?
On the last working day or soon after, once handover is complete. Do not delay it to recover unrelated dues; handle those separately.
Can I mention pending dues in the relieving letter?
Yes. You can state that the full and final settlement is paid or give the date it will be paid, and list any hotel property still to be returned.
