How many staff does a hotel need?
The staff-per-room ratio is the quickest way to plan head count for a new hotel, check whether an existing one is over or under staffed, or prepare a payroll budget. It divides total employees by the number of rooms. The right ratio depends mostly on service level and on how many restaurants, bars and banquet spaces you run.
Typical planning ranges in India
- Homestay / guest house: about 0.25 to 0.5 per room. The owner family often covers the desk and kitchen.
- Budget hotel: about 0.4 to 0.6, with a small kitchen and limited service.
- Midscale / business hotel: about 0.7 to 1.0, with a restaurant and room service.
- Upscale / 5-star: about 1.2 to 2.0, with several outlets, banquets and a spa.
- Resort: about 1.3 to 2.0 because of large grounds, activities and remote location.
These are planning ranges drawn from common practice, not rules. A 60-room midscale hotel at 0.9 needs about 54 people across all shifts, weekly offs and leave relief.
Using the department split
The calculator splits the total into seven departments using a typical mix for each hotel type. Housekeeping is usually the largest team. Use the split as a starting point and adjust for your property:
- Outsourced security or laundry lowers your own head count but not the cost.
- Seasonal resorts can staff to the benchmark in peak months and keep a smaller core team in low season.
- Check housekeeping in detail with the housekeeping staffing calculator, which works from rooms cleaned per attendant.
- Turn the head count into shifts with the staff duty roster generator.
Watch payroll as a share of revenue
Head count matters because payroll is usually the biggest cost in a hotel. Add the average monthly cost per employee to see a payroll estimate, then compare it with your revenue. If payroll looks high, cross-training and better rostering often help more than cutting people. Results are estimates for planning.

Frequently asked questions
What is a good staff to room ratio for a hotel?
A budget hotel often works at about 0.4 to 0.6 staff per room, a midscale hotel at 0.7 to 1.0, and upscale hotels and resorts at 1.2 or more. Service level and outlets make the biggest difference.
Does the ratio include weekly offs and leave?
Yes. The ratio is total head count, so it includes people on weekly off and leave. Fewer people are on duty in any one shift.
How many staff does a 20-room homestay need?
At about 0.35 staff per room, a 20-room homestay needs around 7 people, plus any family members who work in the business. Adjust for meals and services you offer.
