Why experience letters matter in hospitality

Hotel careers move from property to property: a commis chef becomes a chef de partie at another hotel, a room attendant joins a cruise line, a front office associate moves to the Gulf. Each move needs an experience letter, also called an experience certificate or service certificate. Employers, embassies and background-check agencies use it to confirm dates and designation. A clear, accurate letter, issued on time, is also part of treating people fairly when they leave.

What to include

  • Full name and, if you use them, the employee ID.
  • Exact date of joining and last working day, taken from your records.
  • Designation at joining and last designation, so promotions are visible.
  • Department and, optionally, three or four key responsibilities.
  • A conduct line that is honest. Choose a neutral line if performance was weak; do not write praise you cannot stand behind.
  • Signature, name and designation of the signatory, with the hotel stamp.

Experience letter vs relieving letter

An experience letter describes the work done and the period of service. A relieving letter confirms that the employee resigned, completed handover and was formally released. Many employers ask for both. Use our relieving letter generator for the second one, or combine them if your policy allows.

Good practice

  • Issue the letter with the full and final settlement, or within a reasonable time after the last day.
  • Do not hold back an experience letter to recover unrelated dues or to stop someone joining a competitor.
  • Use the same job titles as your job descriptions and payroll, so background checks match.
  • Keep a signed copy in the personnel file.
  • If a third party calls to verify, confirm only facts that are in the letter.

The generator writes in plain English, lets you choose the pronoun, and adds a list of responsibilities only if you enter them. Download it as Word to edit, or print it directly on your letterhead. Template only, not legal advice. Edit it to match your policies and appointment terms. Rules change — verify with your CA/HR advisor.

Frequently asked questions

What is the format of an experience letter?

Letterhead, date, a heading such as To Whom It May Concern, the employee's name, dates of service, designation and department, an optional list of duties, a conduct line, and the signatory's name and designation.

Can an employer refuse to give an experience letter?

Refusing without a valid reason is poor practice and can lead to disputes. Many standing orders and policies provide for a service certificate. Check your policies and local rules with your HR advisor.

Should the experience letter mention salary?

Usually no. Salary is shown in payslips or a separate salary certificate. Some employees ask for it for visas, which you can add if your policy allows.
