Share service charge fairly and transparently
Where guests choose to pay a service charge, or leave tips that are pooled, staff want to know exactly how the money is divided. Disputes usually start when the split is decided by one person at the end of the month. A written points system, applied the same way every month, removes most of that friction. This calculator divides the pool by role points and days worked and shows each person's share.
Setting points by role
- Give higher points to roles with more responsibility or guest contact, for example captain 4, steward and bartender 3, commis chef and hostess 2, kitchen steward 1.5, utility 1.
- Include back-of-house staff. The kitchen and stewarding team are part of the guest experience.
- Days worked rewards attendance and handles people who joined or left mid-month.
- Write the point table into a policy, share it with staff and review it once a year.
Example
A restaurant collects ₹1,20,000 in a month and distributes it all. Eight people have 477 point-days between them, so one point-day is worth about ₹252. A captain with 4 points and 26 days gets 104 point-days, or about ₹26,163, while a utility worker with 1 point and 26 days gets about ₹6,540.
Service charge rules in India
The Central Consumer Protection Authority issued guidelines in July 2022 saying hotels and restaurants cannot add a service charge to the bill automatically or by default, cannot collect it under any other name, and cannot make it a condition of entry or service. A guest may choose to pay it voluntarily. Courts have considered challenges to these guidelines, so rules change — verify with your CA/HR advisor.
Amounts paid to staff from the pool form part of their wages for tax, PF and records purposes where applicable. Show them on the payslip, and keep the monthly distribution sheet signed by the department head. Use the hotel invoice generator to create clean bills, and the staff duty roster generator to track the days worked that feed this calculation. Results are estimates, not legal or tax advice.

Frequently asked questions
How should service charge be divided among hotel staff?
A common method gives each role a number of points and multiplies them by days worked. Each person's share is their point-days divided by the total point-days, times the pool.
Is service charge mandatory for guests in India?
No. The CCPA guidelines of July 2022 say service charge cannot be added automatically or by default and guests may pay it only voluntarily. Verify the latest position with your advisor.
Should kitchen staff get a share of the service charge?
Many hotels include kitchen and stewarding staff with lower points, because they contribute to the guest experience. Set the rule in a written policy and apply it every month.
