Hotel Cash Flow Calculator
Forecast 12 months of cash with seasonality, delayed OTA payouts, EMI and capex, and see the month cash runs lowest.
Profit is not the same as cash
Many hotels that look profitable on paper still struggle to pay salaries in the low season. The reason is timing. OTAs often pay out after the guest checks out, corporate clients pay on credit, and the off-season can last several months, while salaries, EMIs and electricity bills arrive every month. This calculator turns your average revenue and costs into a 12-month cash forecast so you can see the tightest month in advance.
How the forecast works
- Seasonality: choose a pattern close to your destination. Your average monthly revenue is spread across the year using that pattern, so peak months earn more and low months less, while the yearly total stays the same.
- Collection delay: enter the share of revenue you receive later, such as OTA prepaid bookings and corporate credit, and how late it arrives. The rest is treated as cash received in the same month.
- Costs: fixed costs are paid every month; variable costs move with revenue; EMI is fixed; capex is paid in the month you choose.
The month with the lowest closing cash is highlighted. Any month below zero is shaded red.
What to do if cash dips
- Move renovation or equipment purchases to after the peak season, when cash is highest.
- Talk to your bank about a working-capital or overdraft limit before you need it, not during the crisis.
- Push more direct and pay-at-hotel bookings in low months to bring cash in faster.
- Plan leave and seasonal staff contracts around the low season.
- Pre-sell peak-season packages, weddings and group stays with an advance.

Frequently asked questions
Why does a profitable hotel run out of cash?
Because cash arrives later than revenue is earned. OTA payouts, corporate credit and a long off-season can leave you short in some months even if the year is profitable.
What seasonality should I choose?
Pick the pattern closest to your destination: hill stations peak in summer and festival months, beaches in winter, and city hotels are steadier with a summer dip. Use no seasonality if revenue is even all year.
Does the forecast include GST?
No. Enter revenue and costs excluding GST. GST and income tax payments are not included, so keep a separate buffer for them.
