What a pickup report tells you

Pickup is the number of rooms booked for a future stay date since an earlier snapshot. If 28 rooms are on the books for Friday today and there were 26 yesterday, Friday picked up 2 rooms in one day. Looking at pickup for the next 10 or more dates every morning is the simplest way to see where demand is building and where it is not, long before the date arrives.

Pickup = Rooms on books today − Rooms on books on the earlier date (same stay date)

How to use this generator

  1. Export or note rooms on the books for each future date from your PMS or channel manager. Count confirmed rooms only, not enquiries.
  2. Do the same snapshot daily and keep yesterday's and last week's figures. A simple spreadsheet with one column per day works.
  3. Enter today, yesterday and 7-days-ago figures here. The tool calculates 1-day and 7-day pickup, occupancy on the books, and flags each date as hot, slow or steady.
  4. Print or download the report and discuss it in the morning revenue meeting.

Turning the flags into action

  • Hot dates (high occupancy on books or fast 7-day pickup): raise the rate in steps, close deep OTA discounts and consider a minimum stay. The hotel room rate calculator helps set the new rate.
  • Slow dates (low occupancy and almost no pickup): check your price against competitors, refresh OTA photos and content, and push packages on direct channels.
  • Negative pickup: cancellations outran new bookings. Look for a group wash or a policy problem. The cancellation and no-show loss calculator shows what it costs you.
  • Overbooked: rooms on books exceed capacity. Confirm it is intentional and planned, or fix the inventory error at once.

Tips for reliable pickup data

Take the snapshot at the same time every day, use the same source each time, and count rooms, not guests. Adjust the hot and slow thresholds to your hotel: a 15-room homestay and a 120-room city hotel behave differently. Over a few weeks you will learn the normal booking window for weekdays, weekends and festival dates, and pricing decisions become much faster.

Frequently asked questions

How often should I run a pickup report?

Daily is ideal for the next 30 days, at the same time each morning. For dates further out, a weekly snapshot is usually enough.

What is a good pickup number?

There is no universal number. Compare pickup with the same weekday in previous weeks and with last year. Pickup that is faster than usual for a date is a signal to raise rates.

Why is my pickup negative?

Negative pickup means more rooms were cancelled than booked since the earlier snapshot. Check for group cancellations, OTA cancellations or duplicate bookings that were cleaned up.
