Why a room status report matters
The room status report is the link between housekeeping and the front desk. Housekeeping knows which rooms are clean, dirty or blocked; the front desk needs that information to allot rooms and to sell the last few rooms of the night. When the two lists do not match, guests wait in the lobby for a room that is still dirty, or a clean room stays unsold. A short report two or three times a day avoids both problems.
Room status codes used in this report
- VC – Vacant Clean: cleaned and inspected, ready to sell.
- VD – Vacant Dirty: guest has checked out; the room needs cleaning before it can be sold.
- OC – Occupied Clean: guest in house, room already serviced today.
- OD – Occupied Dirty: guest in house, service still due.
- OOO – Out of Order: blocked for repair or deep cleaning and not sellable.
- DND – Do Not Disturb: guest has put up the DND sign; service is postponed.
How to use the generator
- Type your room numbers as ranges (for example 101-112) or as a list.
- Press the button, then set each room's status from the dropdowns. Counts, occupancy and the report update instantly.
- Print or download the report and hand it to the front desk. The room-by-room sheet has blank columns for the attendant name, time cleaned and remarks.
Good practice
- Run the report in the morning, after check-out time and in the evening.
- Investigate every discrepancy. A room shown occupied by the front desk but vacant by housekeeping can mean a guest left without checking out; the opposite can mean an unregistered stay.
- Clean VD rooms first on high-demand days so they can be sold, then service OD rooms.
- Plan attendants from the dirty-room count with the housekeeping staffing calculator, and match the room count with the night audit report.

Frequently asked questions
What is the difference between VD and OD in housekeeping?
VD means vacant dirty: the guest has checked out and the room must be cleaned before sale. OD means occupied dirty: a guest is still staying and the room is due for daily service.
How often should a room status report be made?
Most hotels prepare it at least twice a day, in the morning and after check-out time, and again in the evening so the front desk can sell the remaining rooms.
Is an out of order room counted in occupancy?
Hotels usually exclude out of order rooms from rooms available for sale. This report shows occupancy on sellable rooms, which is total rooms minus out of order rooms.
