Why preventive maintenance pays

An AC that fails on a summer night, a geyser that stops in winter, a lift stuck between floors or a DG set that will not start during a power cut — each one costs you a room night, a refund or a bad review, and emergency repairs cost more than planned servicing. Preventive maintenance means checking and servicing equipment on a fixed schedule before it breaks. This free hotel maintenance checklist generator builds a 12-month schedule and a printable monthly checklist for the assets you have.

What the schedule covers

  • Air conditioners — monthly filter cleaning, quarterly servicing and a deep service before summer.
  • Geysers — monthly safety checks and descaling in hard-water areas.
  • DG set — weekly test runs and fluid checks, servicing by running hours.
  • Lift — weekly safety checks, AMC visits, rescue drills and statutory inspection where your state requires it.
  • Fire safety — monthly extinguisher checks, alarm tests, drills and yearly maintenance by a fire safety vendor.
  • Pumps and tanks, kitchen equipment, pool, CCTV and the electrical panel — each with its own daily to yearly tasks.

Frequency and responsibility

Every task has a frequency (daily, weekly, monthly, quarterly, half-yearly or yearly) and a responsible role — in-house technician, electrician, security supervisor, kitchen steward or an AMC vendor. Quarterly and yearly tasks are spread from the month your plan starts, so the "When due" column shows exactly which months they fall in.

Task due this month if (months since plan start) ÷ interval leaves no remainder

Making it work

  1. Print the monthly checklist on the first day of each month and put it on the engineering notice board.
  2. Each task is ticked, dated and signed when done; the chief engineer checks it weekly and the GM reviews it monthly.
  3. Keep AMC contracts, service reports and statutory certificates in one file — useful during inspections and licence renewals. See the hotel license checklist.
  4. Budget for AMCs and spares each year with the hotel budget calculator.

This is general guidance; follow manufacturer manuals, AMC terms and local rules where they are stricter.

Frequently asked questions

How often should hotel ACs be serviced?

Filters are usually cleaned monthly, with a full service every quarter and a deep service before summer. Heavy use, dust or coastal air may need more frequent servicing.

How often should fire extinguishers be checked?

A visual check every month is good practice, with maintenance, refilling and pressure testing by a competent fire safety vendor as per IS 2190 and the manufacturer.

Can I change the frequencies and responsible roles?

Yes. Download the Word file and edit any task, frequency or role to match your equipment, AMC contracts and team.
