What is an amenities par level?

Par level is the amount of stock you keep on hand so you never run out between deliveries. For guest amenities — soap, shampoo, dental kits, water bottles, tea and coffee sachets, toilet rolls and slippers — running out means unhappy guests and last-minute local purchases at higher prices, while overstocking ties up cash and storage space. This free guest amenities par calculator works out monthly usage, the par stock to keep, the reorder level and the monthly cost for each item.

How the calculator works

Daily use = Rooms × Occupancy % × Qty per occupied room night
Par stock = Daily use × Par weeks × 7 · Reorder level = Daily use × (Lead time + Safety days)

Example: 40 rooms at 70% occupancy is 28 occupied rooms a day. With 2 dental kits per occupied room, you use 56 a day, about 1,680 a month. A 3-week par means keeping 1,176 in stock, and with a 7-day lead time plus 3 days of safety stock you should reorder when stock falls to 560.

Setting quantities per occupied room night

  • Per guest items such as dental kits and water bottles depend on the average number of guests per room — usually close to two.
  • Per stay items such as slippers and shower caps are given once per stay. Divide by your average length of stay: 2 pairs per stay ÷ 2 nights = 1 per room night.
  • Partly used items such as toilet rolls can be a fraction: 0.5 means one roll every two room nights.

Controlling amenities cost

  1. Count stock weekly and compare actual usage with the calculated usage. A big gap usually means wastage or pilferage.
  2. Use refillable dispensers for shampoo and body wash where your category allows — it cuts cost and plastic.
  3. Agree a fixed lead time and price with your supplier for six or twelve months.
  4. Look at amenities cost per occupied room night alongside your other room costs in the room rate calculator, and plan linen separately with the linen par calculator.

Frequently asked questions

How much amenities stock should a hotel keep?

Many hotels keep two to four weeks of stock. The par level must be longer than the supplier lead time plus a few days of safety stock, otherwise you will run out before the new order arrives.

What is a reorder level?

It is the stock level at which you place a new order. It equals daily usage multiplied by the supplier lead time plus safety stock days.

How do I enter items given once per stay?

Divide the quantity given per stay by your average length of stay. For example, one pair of slippers per guest, two guests and a two-night average stay gives 1 pair per occupied room night.
